As an Executive Assistant III, you will complete a broad variety of administrative tasks including but not limited to managing an extremely active calendar of appointments, meetings and conference calls, and completing expense reports. You will also be composing and preparing confidential correspondence, arranging complex and detailed travel plans, itineraries and agendas, and compiling documents for travel-related meetings. You will represent assigned executives in greeting clients, vendors and other visitors; answering their phone lines; organizing and attending Company dinners and other corporate functions including sponsored events as needed. You will use appropriate judgment and knowledge of Company policies and maintain a high level of confidentiality in all matters. You will organize and file corporate documents and other records, and administer and process legal, and vendor invoices.

Additionally, you are expected to research, prioritize, and follow up on incoming issues and concerns addressed to the assigned executives, including those of a sensitive or confidential nature. You will determine appropriate course of action, referral, or responses, and provide a bridge for smooth communication between the assigned executives' offices and internal departments and/or clients by demonstrating leadership to maintain credibility, trust and support with senior management staff. You will work closely and effectively with the assigned executives to keep them informed of upcoming commitments and responsibilities and following up appropriately. You will successfully complete critical aspects of deliverables with a hands-on approach, including drafting letters, correspondence and other tasks. Also, you must prioritize conflicting needs, handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.

As an Executive Assistant III you will provide event management for local events and other company meetings, including event logistics, creating agendas as requested, coordination of materials in advance of meetings, and facilitate cross-divisional coordination. You will also interact with local non-profits that we support and develop strong relationships to enhance our community outreach in the community. You will attend meetings as requested, and maintain a solid working knowledge of the Company's structure, key personnel, products and services, and policies and procedures.

All associates are expected to maintain current knowledge and consistent compliance with regulations and bank policies and procedures related to the position, including but not limited to Bank Secrecy Act (BSA) and Office of Foreign Assets Control (OFAC) requirements.

Minimum Requirements: To be considered for this position, you must possess the following qualifications.

  • Associate degree or equivalent combination of education and related work experience.
  • 10+ years of progressive experience providing executive administrative support.
  • Effective organizational and time management skills.
  • Strong Microsoft Office skills, including PowerPoint, Word and Excel.

Desired Qualifications: To be considered an ideal candidate, you should possess some of the following qualifications:

  • 15+ years of experience in banking administrative support.
  • Bachelor's degree or related field.
  • Prior work experience in the banking industry.

  • Must be able to work additional hours outside routine business hours to the extent necessary.
  • Must be able to travel - estimated at 10-20% of the time.
