JOB TITLE:

Office Associate, Senior - Wyoming State Veterinary Laboratory

JOB PURPOSE:

This position is a critical administrative role at the WSVL (Wyoming State Vet Lab). It serves as the interface between clients and laboratory personnel, by communicating with clients and providing accurate data entry so that diagnostic testing is completed in an efficient manner. Perform complex administrative/management support tasks with discretionary authority; independently make decisions that substantially impact operations within and outside designated unit/program; administratively supervise comprehensive office operations and support staff for department/unit.

This position has been deemed essential as addressed in the University of Wyoming's Employee Handbook. Employees in essential positions may be required to work during emergency closures and winter closure based on the nature of their job duties and the reasons for the closure.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Transcribe clinical history for downstream laboratory testing
  • Create and/or maintain complex records system and/or databases.
  • Communicate with clients via phone and email regarding account questions
  • Work as a team member and foster a cooperative work environment.
  • Use a personal computer and associated software in use in the department or area.
  • Analyze and solve basic, routine, and advanced problems.
  • Serve as a resource for department/unit and campus.
  • Coordinate information between individuals, departments and/or outside agencies as directed; assist with problem resolution as required.
  • Make recommendations and revise existing office policies, systems, methods, and procedures; create/revise related documentation.
  • Ensure compliance of policies and procedures.

SUPPLEMENTAL FUNCTIONS:

  • Back up duties/task for other administrative personnel that may include additional quality control checks on invoicing, answering phones, and assistance with Director's scheduling/calendars.

REMOTE WORK ELIGIBILITY:

This position provides vital support to campus customers and requires the successful candidate be available to work on campus.

MINIMUM QUALIFICATIONS:

Education: Associate's degree or equivalent experience

Experience: 1 year progressively responsible work-related experience

Required licensure, certification, registration or other requirements: Valid driver's license with a motor vehicle record (MVR) that is compliant with the University Vehicle Use Policy.

DESIRED QUALIFICATIONS:

  • Perform basic, routine and advanced records maintenance.
  • Create, compose, and edit basic, routine and complex written materials.
  • Communicate effectively both orally and in writing with a wide range of individuals and constituencies.
  • Maintain effective relationships with administrative/financial team
  • Organizing, prioritizing, and scheduling work assignments.
  • Investigate, analyze information, draw conclusions, and make recommendations based on data or findings.
  • Research, compile, develop, analyze and integrate data. Prepare related reports and correspondence; perform difficult research for special projects as assigned by supervisor.
  • Develop and maintain basic, routine and advanced record keeping systems and procedures.
  • Develop and maintain websites/social media.
  • Maintain calendars and schedule appointments.
  • Be able to demonstrate, during interview, data entry skills and transcription of veterinary terms.
